Institution Wide Responsibilities

The Institutional Effectiveness Group will be responsible for:

- conducting reviews of the process;
- providing feedback to programs on how well their outcomes and assessments fit suggested criteria;
- providing feedback on how well a program’s outcomes and assessments meet suggested criteria;
- reporting on whether the institution is taking action on the results of the PEP;
- establishing a schedule of PEP each year.



The Institutional Effectiveness Staff Person will assist program chairs and faculty with the following:

- evaluating data/information;
- generating outcomes and assessments;
- consulting about the PEP process;



Annual Outcomes Cycle

Program Chair and Faculty will work on the PEP Five Step Process, complete an Annual Outcomes Report and submit a copy of the report the IEG. The five-step process shall include:

- identifying three program learner outcomes;
- implementing assessments of the outcomes;
- reviewing assessment results;
- taking appropriate action on the results.



The Division Chair will ensure that:

- the Annual Outcomes Report is submitted to the IEG;
- feedback from the IEG is taken into consideration when programs are formulating their PEP action plans;
- the program PEP files are kept up to date’
- the PEP process is being carried out by division programs.



The IEG will receive each program’s Annual Outcomes Report and provide feedback.

The college’s curriculum specialists will assist program chairs and faculty to:

- write learner program outcomes;
- identify appropriate assessments.



Five Year In-Depth Self Study

Program chair and faculty will work with a PEP committee comprised of the Division Chair, one member of the Program Advisory Committee, the IE staff person and an outside review consultant. The Committee’s responsibilities include:

- review of all required data;
- determination whether optional data or information will be collected;
- make recommendations;
- review summary report and prepare an action plan.




The Division Chair shall:

- organize and convene the PEP committee for the affected program;
- provide consulting, support and institutional context.
- ensure completion of the Five Year Summary Report;
- submit the Five Year Summary Report to the Executive Dean of Instruction;
- ensure the action plan is implemented.



The Executive Dean for Instruction will formulate responses to the Five Year Summary Reports and communicate those back to division chairs. The Executive Dean will also distribute copies of the reports and the Executive Dean’s responses to the Educational Services Cabinet, the Institutional Effectiveness Group and the Curriculum Advisory Committee.

An outside consultant, specializing in program evaluation and effectiveness, will be retained to provide services and support to all professional/technical programs during the five year in-depth self study. Their role will be to:

- serve on the PEP committee of the affected program;
- conduct a market analysis;
- compile recommendations of the program committee.
